YOUR BOOKING CONTRACT
These Booking Conditions form the basis of your contract with Yeti Adventures, so please take a few minutes to read through them before making a booking.
When you make a booking with us and we issue your confirmation invoice, a legally binding booking contract is created between you and Yeti Adventures.
These Booking Conditions, together with any Trip Information and Booking Information we provide, make up the full agreement between us.
The person making the booking (“lead name”) confirms that:
- They have permission to accept these terms on behalf of everyone in the group
- All information provided is accurate
- They are responsible for making all payments on time
1. GOVERNING LAW
This booking contract is governed by the laws of England and Wales. Any disputes will be handled by the courts of England and Wales, unless you live in Scotland or Northern Ireland, where local courts may apply.
2. PACKAGE TRAVEL REGULATIONS
If your booking is a package, it is protected under the Package Travel and Linked Travel Arrangements Regulations 2018.
This means we are responsible for making sure all parts of your trip are delivered as agreed.
3. BOOKING AND PAYMENT
To secure your place, a deposit is required at the time of booking. The exact amount will be confirmed when you book.
The deposit forms part of the total cost of your trip and is non-refundable, unless we cancel your booking.
The remaining balance must be paid in full no later than 12 weeks before departure, unless we agree otherwise in writing.
If you book:
- Within 12 weeks of departure, full payment is required at the time of booking
If payments are not received on time, we may treat your booking as cancelled and apply the cancellation charges set out below.
4. PRICES
Prices may change at any time before your booking is confirmed.
Once your booking is confirmed, your price is fixed and will not change.
We’re not able to offer refunds for any unused parts of your trip.
From time to time, we run promotions or special offers. In general:
- Offers aren’t applied retrospectively to existing bookings
- Expired offers aren’t valid after their end date
- Only one offer can be used per booking
- Offers can’t usually be combined
That said, we always aim to be fair and may choose to honour or apply offers outside of these rules in exceptional cases.
All offers are subject to availability and may be changed or withdrawn at any time.
5. CHANGES AND CANCELLATIONS BY YOU
Changes
If you need to make a change, just let us know in writing and we’ll do our best to help.
- A £25 admin fee may apply
- Any additional supplier costs will also need to be covered
Cancellation
If you need to cancel your booking, the following charges apply:
- More than 3 months before departure: deposit retained
- Between 3 months and 1 month before departure: 50% of total cost
- Less than 1 month before departure: 100% of total cost
We strongly recommend taking out travel insurance as soon as you book, so you’re covered if plans change.
6. CHANGES AND CANCELLATION BY US
Adventure travel can be unpredictable, and sometimes changes are necessary.
Minor Changes
We may make small changes, such as adjusting the itinerary to improve your experience or ensure safety. This also includes decisions made by our guides during the trip where necessary.
Significant Changes
If we need to make a major change before departure, you’ll have the option to:
- Accept the change
- Choose an alternative trip (if available)
- Cancel and receive a full refund
Cancellation
We may need to cancel a trip if:
- Minimum group numbers aren’t met
- Circumstances beyond our control occur
If this happens, you’ll receive a full refund. We won’t be able to offer additional compensation.
In some cases, trips may involve unexpected changes due to weather or other events. This means we may need to adapt plans during your trip to ensure safety and deliver the best possible experience. We ask that you come prepared with a flexible mindset and be ready to roll with the punches.
7. UNAVOIDABLE AND EXTRAORDINARY CIRCUMSTANCES
We can’t be held responsible for events outside our control, including but not limited to:
- War or civil unrest
- Government or political actions
- Pandemics
- Severe weather or natural disasters
These situations can sometimes affect travel plans in ways that are impossible to predict or avoid.
8. OUR LIABILITY
We take great care in planning and delivering your trip.
If something doesn’t go as expected due to our fault, we will take responsibility.
However, we aren’t responsible for:
- Actions of third parties
- Events outside our control
- Services not included in your booking
Except in cases of death or personal injury caused by negligence, our liability is limited to three times the total trip cost.
9. ADDITIONAL ACTIVITIES
If you choose to book activities outside of your trip with us, these won’t form part of your booking contract.
10. YOUR RESPONSIBILITIES
By booking with us, you confirm that:
- You understand the physical effort required for your trip
- You’re comfortable with the level of challenge involved
- You accept the risks that come with adventure travel
- You will follow the guidance of our team and local leaders
Adventure travel can carry risks, and we encourage you to fully understand these so you can get the most out of your trip. We want you to push your boundaries, but always do so safely and in control.
If your behaviour or condition puts yourself or others at risk, we may ask you to leave the trip. In this case, no refund will be given.
11. MEDICAL CONDITIONS
Please let us know about any medical conditions before booking.
This helps us make sure the trip is right for you, and safe for both you and the group.
We may refuse or cancel a booking if we believe the trip isn’t suitable for your safety, the safety of our team, or the overall group experience.
12. PASSPORTS, VISAS AND HEALTH
It’s your responsibility to make sure you have everything you need for travel, including:
- A valid passport
- Any required visas
- Vaccinations, medications, and health requirements
13. TRAVEL INSURANCE
Travel insurance is essential and mandatory.
Your policy must cover medical expenses, emergency evacuation (including helicopter rescue where applicable), cancellation, and personal liability.
14. COMPLAINTS
We always want you to have a great experience with Yeti Adventures, but if something doesn’t feel right, we’d really like the chance to put it right.
If you have a concern during your trip, please speak to your guide or local contact as soon as possible. Most issues can be resolved quickly on the ground.
If your complaint isn’t resolved during your trip, please contact us at info@yetiadventures.co.uk within 30 days of your return.
We promise to treat every complaint seriously and provide a fair and unbiased review.
We aim to:
- Acknowledge your complaint within 5 working days
- Provide a full response within 8 weeks
Please note that acknowledging a complaint does not automatically mean compensation will be awarded. Any outcome will be based on a fair review of the situation.
15. DATA PROTECTION
We take your privacy seriously. Your data is handled in accordance with our Privacy & Cookie Policy, available on our website.
16. PHOTOGRAPHS AND MEDIA
We love capturing the experiences and memories made on our trips. From time to time, our guides, staff, partners, or fellow travellers may take photos or videos during your trip.
We may use these to share what Yeti Adventures is all about, including on our website, social media, and marketing materials.
If you’d prefer not to appear in any photos or videos, just let your guide know at the start of your trip and we’ll respect that.
If you share photos with us or tag us online, we may repost them. If you’d rather we didn’t, just let us know.
17. FAIRNESS AND DISCRETION
At Yeti Adventures, our goal is simple, to provide you with an amazing experience.
We aim to treat all customers fairly and reasonably. While these Booking Conditions set out the standard terms, we understand that every situation is different.
We reserve the right, at our discretion, to make decisions outside of these Booking Conditions in individual cases where appropriate.
Any such decisions will be made on a goodwill and non-prejudice basis, balancing the needs of our customers with the needs of our business. This does not create a precedent for future decisions.
18. WHO WE WORK WITH – WE TRAVEL
To provide a smooth and secure booking experience, we use WeTravel.
This allows us to:
- Process payments securely through encrypted systems
- Provide clear trip and booking information
- Use trusted financial infrastructure
For additional peace of mind:
- Card payments may benefit from provider protection (such as chargeback rights)
- Transactions follow recognised security standards
Your booking contract is always with Yeti Adventures. WeTravel acts only as a platform provider.
19. WHO WE WORK WITH – IN-COUNTRY PARTNERS
We work with carefully selected local partners in the countries we operate in.
All partners are vetted by us to ensure high standards of safety, reliability, and service.
They form an important part of the Yeti Adventures team, helping deliver your experience on the ground.
Your booking contract remains with Yeti Adventures, and we retain overall responsibility for your trip.
20. IMPORTANT – ADVENTURE TRAVEL
Adventure travel is, by its nature, unpredictable.
Trips may involve challenging conditions, remote environments, and situations where plans need to change. Weather, local conditions, or other unforeseen events can all have an impact.
Adventure travel can carry risks, and it’s important that you take the time to understand these before your trip. This will help you get the most out of your experience.
We encourage you to push your boundaries and embrace the adventure, but always do so safely, responsibly, and within your limits.At times, we may need to adjust itineraries or plans to ensure safety and maintain the overall experience. Flexibility is an important part of any adventure, so being prepared to adapt and roll with the punches will help you enjoy your trip to the fullest.
